Oral Presentations
Oral presentation is a structured verbal delivery of information to an audience, aiming to educate, persuade or entertain using voice, body language and visual aids. The need for communication skills particularly oral communication is important in all kinds of jobs.
Presentations give you a chance to demonstrate your abilities to think on your feet, grasp complex issues, and handle challenging situations within an organization. Perhaps best of all, oral presentations let your personality shine through in ways that even the best-written reports can‘t provide.
Presentation Process
There are four steps in the presentation process. Such steps are Audience Analysis, Presentation Development, Presentation Delivery and Presentation Evaluation. The process can be explained as follows.
Audience Analysis
Regardless of the type of presentation, it is needed to prepare carefully to ensure that it is effective. The most important part of preparation is deciding what you want to accomplish through the presentation. This can be identified as knowing your purpose or analyzing the situation. a second key element in preparation is analyzing the audience, anticipating its reactions, and adjusting to its needs if necessary. By anticipating your audience,you have a better idea of how to organize your presentation. Hence, organizations can develop an audience profile, which includes,Who are they? How many will be there? Why are they coming? What do they know about the subject? Why are they interested in the subject? What is their relationship to you?
Presentation Development.
After determining the purpose and analyzing the audience, it is needed to ready to collect information and organize it logically. Just like written documents, presentations consist of three distinct elements: the introduction, the body, and the close. In introduction, presenter should think about getting the attention from the audience. In the body part, presenter can use different ways of organizing the body as per the content of the presentation.
Presentation Delivery
Once you have organized your presentation and prepared visuals, you are ready to practice delivering it. There are different ways of delivery methods such as memorizing, reading, Speaking from notes and Impromptu speaking. It is needed to pay attention to the audience, situation and other factors when selecting the most suitable delivery method.You need to prepare adequately and rehearse sufficiently in
order to boost your confidence and to interact with the audience.
Presentation Evaluation
Presentation evaluation phase involves analyzing whether the presenter has achieved the intended aim and objectives which are set at the beginning. This means whether the audience are persuaded or convinced by the presentation and how they feel about the presentation as a whole. The presentation evaluation can be done several ways. For example, presenter can distribute a feedback form asking the participants to respond to a number of questions such as content of the presentation, presentation delivery, and physical environment. After analyzing the feedback given by the participants, presenter can understand what the areas need further improvement and what are the areas are good at.
